The MCYPAA Committee

  • Maintains an understanding of the committee bylaws.

  • Responsible for the overall function of the committee.

  • Reviews the agenda with the Secretary before agenda distribution.

  • Ensures all old business and other issues are included in the agenda.

  • Write the agenda for each business meeting. Review with Chair.

  • Finds locations and arranges events that promote unity and recovery (may include online platforms).

  • Responsible for creating and running event subcommittee meetings where events will be planned.

  • Presents a full proposal from the event subcommittee meetings to the committee at for approval. Proposals should always include date, time, location, theme, and proposed budget

  • Works closely with the Graphics to create event flyers.

  • Include contact information on all event flyers.

  • Maintain and utilize various social media outlets.

  • Maintains a list of all previously-used and potential event sites with pertinent information including: contacts, capacity, capabilities, and restrictions.

  • Researches and forges relationships with possible hotels and sites in Marin County.

  • Learns and accepts responsibility for any necessary permits for hosting events in public spaces.

  • Secures bids from two or more hotels or sites that would accommodate the needs of an event.

  • Works in collaboration with the Events and recruits any help necessary to contact and negotiate with hotels.

  • Connect MCYPAA to alcoholics who cannot get to regular meetings—those in hospitals, treatment centers, detox centers, jails, rehabs, and other facilities.

  • Represent MCYPAA at local H&I meetings.

  • Organize panels where MCYPAA members go into facilities to share experience, strength, and hope (especially Marin County Juvenile Hall).

  • Serve as Liaison to the Local H&I Committee.

  • Bring back H&I opportunities to MCYPAA (open panels, literature needs, training sessions).

  • Educate MCYPAA about H&I service.

  • Help alcoholics leaving treatment centers, detox centers, or correctional facilities get connected with AA in the outside world—especially in their first crucial 24–48 hours after release.

  • Match volunteers with newcomers (by gender and location) to help them attend their first outside AA meeting.

  • Collaborate with treatment center staff or H&I panels to identify clients nearing discharge who want help connecting with AA.

  • Lead the creation of the formal proposal that presents MCYPAA as the best choice to host the annual All California Young People in Alcoholics Anonymous (ACYPAA) conference.

  • Showcase the committee's ability to host the conference.

  • Ensure the MCYPAA vision, service experience, and organizational strength all come together on paper.

  • Compile and gather required documentation and materials, including letters of support (intergroup, district, area), committee reports, financial reports, contracts, proposals, prior event history, etc.

  • Create a welcoming, inclusive, and comfortable environment for everyone attending meetings, events, and conferences—particularly newcomers and guests.

  • Make people feel seen, heard, and welcomed—especially if they came alone, are new to AA, or are from out of town.

  • Arrive early to set up coffee and refreshments.

  • Coordinate the purchase and sale of snacks, drinks, and supplies for events.

  • Perform inventory before and after all events.

  • Responsible for storage of all food and supplies.

  • Assist in formulating a budget for event proposals.

  • Serve as a bridge between MCYPAA and newcomers—often those with less than a year of sobriety or who are new to service.

  • Choose to be a male newcomer rep, female newcomer rep, or LGBTQ newcomer rep.
